Please read this Privacy Policy carefully before using our platform or submitting any personal data through any form on our website. By accessing or using SwiftTutorsPro, you acknowledge that you have read and understood this policy and agree to the practices described herein. This policy applies to all visitors, registered Clients, and Tutors who interact with the swifttutorspro.com website and any related services we operate.

1. Who We Are & Key Definitions

SwiftTutorsPro ("we", "us", "our") is an online academic tutoring and study assistance platform that connects Clients with qualified subject-matter Tutors. We are the data controller responsible for personal data collected through swifttutorspro.com.

The following terms are used throughout this policy:

2. Data We Collect

We collect personal data in two ways: directly from you when you interact with our platform, and automatically as you use our services.

2.1 Data You Provide Directly

Account Registration

When you create an account, we collect your full name, email address, and a securely hashed password. Tutors additionally provide educational background, subject specialisations, languages spoken, and a profile biography. Please note that we are not responsible for any consequences resulting from personal information you voluntarily share with other users through our platform.

Order Details

When placing a tutoring request, we collect the subject, academic level, paper type, spacing preferences, deadline, language requirements, citation style, and any assignment instructions or attached files you upload. All information shared through the platform's messaging system in connection with an order is also processed.

Communications & Feedback

We process messages you send to our support team, reviews and ratings you submit, and any survey or feedback responses you provide. We may also process information you post publicly on our platform, including profile information and order-related communications.

2.2 Data Collected Automatically

When you access or use our Services, we may automatically collect the following:

2.3 Sensitive Data

We do not intentionally collect or process sensitive personal data (such as health information, racial or ethnic origin, political opinions, or biometric data) unless you explicitly provide it and consent to its use. We will not collect additional categories of personal data beyond those listed above without notifying you in advance.

3. How We Use Your Data

We use the personal data we collect for the following specific purposes:

3.1 Service Delivery

We process your data to create and manage your account, connect Clients with suitable Tutors, facilitate order placement and fulfilment, and enable platform messaging. Without this data, we cannot provide our core Services.

3.2 Payment Processing

We use your billing details to authorise and process transactions through our third-party payment providers. We do not store raw card data on our servers. See Section 7 for more detail on payment information handling.

3.3 Communications

We use your contact information to send order confirmations, status updates, security notices, and important service announcements. With your consent, we may also send promotional offers and platform updates. You may opt out of marketing communications at any time via the unsubscribe link in any message or through your account settings. Legal notices cannot be opted out of while your account remains active.

3.4 Analytics & Platform Improvement

We analyse usage patterns, feature engagement, and technical performance data to improve our platform, develop new features, and understand how Clients and Tutors interact with our Services. Where possible, we use aggregated or anonymised data for this purpose.

3.5 Safety, Security & Fraud Prevention

We monitor platform activity to detect, investigate, and prevent fraudulent, abusive, or illegal behaviour. This includes verifying Tutor credentials, reviewing flagged content, and responding to reports of misconduct.

3.6 Legal Compliance & Dispute Resolution

We process and retain certain data to meet our obligations under applicable law, respond to valid legal requests from public authorities, and exercise or defend our legal rights in the event of disputes.

3.7 Archival Purposes

We may archive transaction records and communications data for a defined period to support potential legal claims or regulatory audits. This constitutes a legitimate interest on our part.

We do not sell, rent, or trade your personal data to any third party for their own marketing or commercial purposes — and we never will without giving you prior notice and the right to opt out.

4. Legal Bases for Processing

Where data protection law (including the GDPR and equivalent legislation) requires a lawful basis for processing personal data, we rely on one or more of the following, depending on the specific purpose:

Where consent is the legal basis, we will make this clear at the point of collection and provide a simple mechanism to withdraw it. We will notify you of the applicable legal basis before processing your data for any new purpose not covered by this policy.

5. Sharing & Disclosure

We share personal data only in the specific circumstances described below. We do not share your data with third parties for their own commercial purposes.

5.1 Between Platform Users

Tutors receive only the order details needed to deliver their service — subject, instructions, deadline, and formatting requirements. Client identity is protected: Tutors see only your anonymised Customer ID, never your real name, email address, or contact details. By using our platform, you acknowledge that information submitted through order forms and the messaging system will be visible to the Tutor assigned to your order.

5.2 Trusted Service Providers

We engage carefully selected third-party providers who process data on our behalf under binding data processing agreements. These include:

The updated list of our service providers may be requested at any time by contacting us.

5.3 Legal Requirements

We may disclose your personal data if required to do so by applicable law, court order, or lawful request from a public authority. We will only disclose what is strictly necessary and, where permitted by law, will notify you of such a request.

5.4 Business Transfers

In the event of a merger, acquisition, or sale of substantially all of our assets, user data may be transferred to the successor entity. We will notify affected users before their data is subjected to any materially different privacy practices and will provide the opportunity to request deletion where required by law.

5.5 Aggregate & Anonymised Data

We may share aggregated, de-identified data that cannot reasonably be used to identify any individual — for example, platform usage statistics — with partners, researchers, or the public. This data is not personal data and is not subject to this policy's restrictions.

6. Cookies & Tracking Technologies

SwiftTutorsPro uses cookies and similar technologies to keep you logged in, remember your preferences, and understand how visitors use our platform.

Types of Cookies We Use

You can manage or disable non-essential cookies through your browser settings at any time. Please note that disabling cookies may affect certain features of the platform. You will still be able to place orders regardless of your cookie settings. For guidance on managing cookies in your specific browser, visit allaboutcookies.org.

Social Media & Third-Party Embeds

Where we embed content from or link to third-party social networks (such as our official pages on social platforms), those networks may collect data about your interactions in accordance with their own privacy policies. We encourage you to review those policies separately.

7. Payment Information

When you make a payment on our platform, your transaction is processed by IntaSend, our third-party payment provider. We do not collect, process, or store your full payment card details on our servers at any time.

For financial record-keeping and fraud prevention purposes, we may retain limited transaction metadata — such as the transaction amount, date, and a truncated card reference — for a defined period. This is the minimum necessary to reconcile records and support dispute resolution.

All payment data transmitted between your browser and our payment provider is protected by TLS encryption. IntaSend operates in compliance with the Payment Card Industry Data Security Standard (PCI-DSS).

If you believe an unauthorised transaction has occurred on your account, contact us immediately at swifttutorspro.help@outlook.com so we can investigate and assist.

8. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by applicable law. Our standard retention periods are as follows:

Once the applicable retention period expires, data is securely deleted or irreversibly anonymised. If you wish to request early deletion of your data, see Section 10.

9. Data Security

We implement industry-standard technical and organisational security measures to protect your personal data against unauthorised access, disclosure, alteration, loss, or destruction. These include:

No method of electronic transmission or storage can be guaranteed to be 100% secure. While we take every reasonable precaution, we encourage you to use a strong, unique password for your account and to notify us immediately if you suspect any unauthorised access.

Data Breach Response

In the event of a personal data breach that poses a risk to your rights and freedoms, we will notify the relevant supervisory authority within 72 hours of becoming aware, and will notify affected users without undue delay where required by law.

10. Your Rights (General)

Depending on your location and applicable law, you may have the following rights regarding your personal data. We handle all such requests free of charge and respond within 30 days (extendable to 90 days for complex requests, with notice).
